How to set your freelance rate in Mumbai

Five steps that turn Mumbai's cost base into an hourly number you can put in a proposal.

  1. Step 1

    Set the income you want to keep

    Enter the monthly amount you need in hand after tax — rent, living costs, savings and an emergency buffer. The model works backwards from this figure rather than marking up a guessed hourly rate.

  2. Step 2

    Add your business expenses

    Include software subscriptions, hardware amortisation, coworking or internet, accounting fees and professional insurance. These are costs of doing business and must sit inside the rate, not outside it.

  3. Step 3

    Enter realistic billable hours

    Count only hours a client pays for. Sales calls, proposals, invoicing and admin are unbilled, so most full-time freelancers bill 90–120 hours a month, not 160.

    Apply Indian tax and GST

    Choose the New or Old regime. Income tax is modelled with presumptive taxation under section 44ADA (50% of gross treated as income) plus 4% cess. Add 18% GST on top if you are registered — GST is collected from the client, not absorbed by you.

Calculation method for freelancers in Mumbai

    Annualise what you need to keep

    Annual take-home = target monthly take-home × 12

    The model is solved backwards from the money that must remain in your account after tax and after business costs, so this is the anchor for everything that follows.

    Worked example: ₹1,00,000 × 12 = ₹12,00,000 a year in hand.

  2. 02

    Annualise your business costs

    Annual costs = monthly business expenses × 12

    Software, hardware amortisation, coworking or internet, accounting and insurance. These are recovered inside the rate, never billed as an extra afterwards.

    Worked example: ₹18,000 × 12 = ₹2,16,000 a year in costs.

  3. 03

    Solve gross receipts for tax

    Gross receipts G solve: G − annual costs − tax(taxable(G)) = annual take-home, where taxable income is 50% of gross receipts (section 44ADA presumptive income) and tax() applies the chosen regime's slabs, the section 87A rebate and 4% cess

    Tax depends on gross, and gross depends on tax, so the equation is solved iteratively (fixed-point, converging to under ₹1). The section 87A rebate is applied wherever the taxable income qualifies, which is why the tax line can legitimately read zero.

    Worked example: New regime: G ≈ ₹14,16,000, of which ₹7,08,000 is taxable income and ₹0 is income tax including cess (effective 0.0% of receipts).

    Gross up for platform commission

    Invoiced revenue = gross receipts ÷ (1 − platform fee %)

    A marketplace fee is taken off the top of what the client pays, so it has to be divided out rather than added on. A 20% fee needs a 25% higher invoice, not a 20% higher one.

    Worked example: Direct clients (0%): invoiced revenue stays at ₹14,16,000. On Fiverr (20%) it becomes ₹17,70,000.

  5. 05

    Convert working time into billable hours

    Effective annual hours = billable hours per month × 12 × (52 − unpaid weeks) ÷ 52

    Only hours a client pays for count. Weeks you take off, and the unpaid time spent on proposals, invoicing and admin, shrink the divisor and therefore raise the rate.

    Worked example: 110 × 12 × (52 − 4) ÷ 52 ≈ 1,218 billable hours a year.

  6. 06

    Apply the city cost index

    Break-even rate = (invoiced revenue ÷ effective annual hours) × city multiplier

    The multiplier scales your cost base to local rent and living costs against the national baseline. This is the floor: at this rate you hit your target with zero margin for a bad quarter.

    Worked example: ₹14,16,000 ÷ 1,218 ≈ ₹1,162/hr, × 1.18 for Mumbai ≈ ₹1,371/hr break-even.

  7. 07

    Add the margin bands

    Recommended = break-even × 1.25 · Premium = break-even × 1.6 · Day rate = recommended × 8 · Retainer = recommended × (billable hours × 0.6)

    The 25% band covers scope creep, late payers and the deals you lose; the 60% band is where specialists with proof of outcomes price. Retainers assume 60% of your monthly hours are committed, in exchange for guaranteed volume.

    Worked example: ₹1,371 → recommended ≈ ₹1,714/hr, premium ≈ ₹2,194/hr, day rate ≈ ₹13,713, retainer ≈ ₹1,13,132/month.

  8. 08

    Layer GST and convert for export

    Invoice with GST = rate × 1.18 · USD rate = rate ÷ 88

    GST is collected from the client and remitted, so it raises the invoice without changing your take-home. Exported services are zero-rated under an LUT. The USD figure uses a fixed reference rate for comparison with international benchmarks.

    Worked example: ₹1,714 → ₹2,023/hr on a GST invoice, or about $19/hr for an overseas client.

Rounding: intermediate values are kept at full precision and only the displayed rate is rounded to the nearest rupee, so recomputing by hand can differ by a few rupees. The gross-receipts solve iterates until it converges to within ₹1.

Agencies and BFSI clients will accept a strong rate but attach 60-90 day payment terms, so negotiate the calendar as hard as the number: 40% advance, milestone billing and a late-fee clause. Why does the calculator start from take-home income instead of an hourly rate?
Marking up a guessed hourly figure hides whether the number covers your actual life and business costs. Starting from the money you need in hand, then adding expenses, unpaid weeks, tax and platform commission, produces a rate you can defend line by line in a negotiation.
How many billable hours a month should I assume?
Between 90 and 120 for most full-time freelancers, not 160. Sales calls, proposals, revisions to scope, invoicing and chasing payments are real work that no client pays for, so they belong outside the billable divisor and inside the rate.
Is the recommended rate the same as my break-even rate?
No. Break-even is the floor at which you exactly hit your target take-home with zero margin. The recommended rate adds 25% to absorb scope creep, late payment and the proposals you lose, and the premium band adds 60% for specialists who can evidence outcomes.
Do I need to register for GST as a freelancer in India?
"Registration becomes mandatory once aggregate turnover crosses ₹20 lakh in a financial year (₹10 lakh in some special-category states), and immediately if you supply through certain platforms. Exported services can be zero-rated by filing a Letter of Undertaking, so you invoice overseas clients without charging 18%.
